This policy explains what personal data Ongrid Design LLP collects through ongrid.design and our design services, why we collect it, who we share it with, how long we keep it, and your rights.

  • Our role: Ongrid Design LLP is responsible for your personal data. It is the Data Fiduciary under India's Digital Personal Data Protection Act, 2023.
  • Legal basis: we handle personal data under the Information Technology Act, 2000 and its Reasonable Security Practices Rules, 2011, and the Digital Personal Data Protection Act, 2023 and its Rules as they come into force.

2. What we collect and why

  • Name, email, mobile number and city — When we collect it: When you send an enquiry through Project Start or contact us; Why we use it: To reply to you, understand your project and prepare a quotation. When you enquire we store your name, email, phone and message, email you a confirmation from hello@cf.ongrid.design, and send the enquiry to hello@ongrid.design.
  • Project details (plot size, rooms, budget, drawings or photos you share) — When we collect it: Enquiry and project work; Why we use it: To design your project and deliver what you have paid for
  • Your email address or mobile number, and a one-time password, when you sign in. We send the code by email, or by SMS through Airtel. — When we collect it: When you sign in; Why we use it: To let you into your account securely
  • Saved items, calculator inputs and your private reports — When we collect it: When you use your account; Why we use it: To keep your saved work and produce your reports
  • Payment details (amount, date, status and payment reference) — When we collect it: When you pay; Why we use it: To take payment, issue invoices and handle refunds. We do not take payments on this website at launch. When online payment is offered it will be processed by Razorpay, and we will not see or store your full card or bank details. Refunds for online purchases, when offered, go back through the payment provider to the original payment method.
  • Messages with us (email, phone, WhatsApp) — When we collect it: When you contact us; Why we use it: To help you and keep a record of your project
  • Technical data (IP address, device and browser type, pages requested, error logs) — When we collect it: When you use the site; Why we use it: To keep the site secure, prevent fraud and fix problems
  • Usage analytics (which pages and features are used) — When we collect it: When you use the site; Why we use it: To understand what is useful and improve the site. Our measurement is our own, runs on our own systems and is always on, with no third-party tracking or advertising scripts

We do not knowingly collect data from anyone under 18.

3. Marketing messages

  • What we send: if you send us an enquiry or become a client, we may send you occasional messages about our services, new resources and offers, by email or SMS. We message you on WhatsApp only if you opt in. That opt-in is not offered at launch.
  • Opting out: you can stop marketing messages at any time by using the unsubscribe option in the message, or by writing to grievance@ongrid.design.
  • Service messages continue: opting out does not stop service messages, such as sign-in codes, project updates and payment receipts.

4. Who we share data with

We do not sell your personal data. We share it only with service providers who process it for us, under contracts that require them to protect it. These are:

  • cloud hosting and database providers, with data stored mainly in Singapore;
  • website delivery and security;
  • email and SMS delivery;
  • backups;
  • our payment provider, Razorpay, when online payment is offered.

You can ask us for the names of the providers who have received your data (see section 6).

Other sharing:

  • Your project team: with your consultants, municipal architect or contractors, when you ask us to or when it is needed for your project.
  • When required: with authorities when the law requires it, or to protect our legal rights.
  • Translation: we send website text, not your personal data, to a translation service to prepare Hindi and Marathi versions of our pages.

Storage outside India: some of your data is stored outside India, mainly in Singapore. Indian law allows this, and we remain responsible for your data wherever it is stored.

5. How long we keep it

  • Enquiries that do not become projects — How long we keep it: 3 years after our last contact, then deleted. Sooner if you ask
  • Account data — How long we keep it: While your account is open. Deleted when you ask us to delete it, except as below
  • Project files and communications — How long we keep it: For the life of the project and our support period, then archived for our records and your future requests
  • Invoices, payment and accounting records — How long we keep it: At least 8 years from when they are created, or longer where tax law or a legal proceeding requires. These cannot be deleted on request while the law requires us to keep them
  • Security and access logs — How long we keep it: At least 1 year

6. Your rights

You can ask us to:

  • see the personal data we hold about you, and who we have shared it with;
  • correct or update it;
  • delete it, where we no longer need it and the law does not require us to keep it;
  • withdraw your consent, as easily as you gave it. Withdrawing consent does not affect processing already done, and some services may stop if they need that data;
  • nominate someone to exercise your rights if you die or become unable to;
  • complain to us.

How to ask:

  • Write to grievance@ongrid.design from your registered email, or tell us your registered mobile number, so that we can confirm it is you.
  • We acknowledge within 48 hours and respond within one month.

If you are not satisfied after you have written to our Grievance Officer (section 1), you may complain to the Data Protection Board of India (constituted under section 18 of the Digital Personal Data Protection Act, 2023).

7. Cookies

We use:

  • Essential cookies: needed to sign you in, keep you signed in and keep the site secure. These cannot be switched off.
  • Analytics: on your first visit we set a first-party cookie, __Host-ongrid-ft, for 30 days. It stores the referring site's origin, campaign tags (utm_source, utm_medium, utm_campaign, utm_term, utm_content) and, when present, the click identifiers gclid, fbclid and msclkid. We also record which allowlisted pages you open. This stays on our systems, is always on, and is not sent to Google, Meta, Microsoft or any other advertising platform. We load no third-party tracking or advertising scripts.

8. Security

  • How we protect data: encryption in transit, access controls limited to staff who need access, one-time-password sign-in, and backups.
  • If something goes wrong: if a breach affects your personal data, we will tell you without delay and report it as the law requires. We will explain what happened, what it means for you and what we are doing about it.

9. Changes to this policy

We will post any update here with a new "last updated" date. If a change materially affects how we use your data, we will make it prominent on the site.

Construction Planner Member data

You can view one rounded Construction Planner total without an account. If you sign in as a Member, we process the project facts you enter, your working scenarios, saved scenario versions, comparisons, and report actions. These records belong to your OnGrid account. They are separate from ordinary website analytics.

We store and govern account and identity operations separately from detailed Construction Planner research records. Both remain linked to the same account only for authorized access, retention, and deletion while the account is active.

We automatically create a separately governed research record from detailed Member interactions with the Construction Planner. We use this research to improve the planner's usability, defaults, supported scope, and level of detail. We do not use Member scenarios to validate or set numerical construction rates. Numerical rate research uses separately reviewed internet evidence.

Access to detailed planner research is restricted to authorized OnGrid research and privacy roles. Ordinary analytics receives only coarse action and outcome categories. It does not receive your city, area, room counts, site facts, scenario details, construction amounts, evidence, or source records.

We keep saved scenarios while your account remains active and you choose to retain them. We keep detailed planner research for up to 365 days, unless you close your account sooner. If you close your account, we delete the raw project inputs, scenarios, saved versions, and research rows linked to you. We may keep an aggregate only after it can no longer be linked back to you or another Member. Records that law requires us to retain are kept separately and do not retain raw Construction Planner inputs or research payloads.

Construction Planner Member capabilities are for people aged 18 or older. We record the policy confirmation, not your date of birth, for this eligibility check.
